Privacy policy

This is Ruskovilla Oy's (later Ruskovilla) general privacy notice, which explains how we process your personal data: what personal data we collect, your rights in relation to it, and how you can influence the processing of your personal data.

1. Collected personal data

We collect personal data when you visit or make a purchase from our online store (https://ruskovilla.fi) or when you contact our customer service by email, phone or through private messages on social media. The information collected may include

  • Basic information
    • First and last name (title and company, if applicable)
    • contact details (telephone number, e-mail and postal address)
       
  • Customer-related information
    • Identifying information related to the use of services (e.g. customer number, user name and password)
    • language of service
    • the date of the start of the customer relationship
    • details of offers, orders and purchases made (e.g. online purchases)
    • use of services (e.g. subscribing to, opening and clicking on newsletters, browsing and adding products to your shopping basket in the online shop)
    • customer benefits and their use
    • interests and other information provided by the data subject
    • customer contact and communication (such as customer feedback, complaints and other feedback, email and online conversations, e.g. on social media channels)
    • direct marketing authorisations and prohibitions
    • information relating to billing, payments and collections and contracts
    • data collected through cookies in accordance with the customer's consent

2. Purpose of use of personal data

We may use your personal data for purposes such as:
 
  • Orders: your personal data is needed to process and deliver your order.
  • Customer service: your data will be used to respond to enquiries, to provide customer feedback and to process any complaints.
  • Online shop registration: to view and manage your order history, delivery addresses and newsletter subscription. Gift card purchases can only be made as a registered customer.
  • Marketing:
    • We may send marketing messages by post or email if you have given us marketing consent. We may send marketing communications to registered users, regardless of whether you have opted out or not, when necessary to manage the relationship with you.
    • You can unsubscribe from our e-newsletter by clicking on the unsubscribe link in the newsletter.
    • If you have added products to your shopping cart in our online store or subscribed to a product availability notification, we may send you an email reminder about products remaining in your shopping cart or product availability.
    • Based on your purchases or browsing data in our online store, we may recommend products to you through various marketing channels. We use partners and their publishing platforms for remarketing.
  • Customer data analysis: we may process and analyse customer data (your basic data and data related to your customer relationship) in e.g. Shopify, Visma Nova and Klaviyo services. (section 1).
  • We use Klaviyo to send you newsletters 
  • Product reviews: We may ask you to submit a review of a product you have purchased. By writing a product review, you agree that the review may be published in our online store and may be used in our marketing communications. To collect reviews we use judge.me-service.
  • Our customers' photos: if you tag your Instagram posts with @ruskovilla.fi or #ruskovilla, we may ask permission to use your photos, for example on our website. You can grant permission by replying to the request with #yesruskovilla. 
  • Website development. We analyse the behaviour of our online shop users on the website to improve our products and services. For this purpose, we use e.g. Google Analytics, Microsoft Clarity and Zigpoll.  We mainly use only aggregate or anonymous data for analysis. Some of the information may be classified as personal data, such as IP address, date and time of access to services, hardware, software, internet browser used, and information about the operating system, application version and language settings of the device used.
  • Legal obligations: we process personal data to fulfil our legal obligations, for example for accounting purposes.

3. Cookies

We collect information about the use of our online services, for example through the use of cookies. We use cookies on our website that are fit for purpose - they enable the technical functionality of the online store, improve the user experience or monitor traffic on Ruskovilla's website. We may also use cookies for targeting, personalisation and advertising purposes.

Cookies are divided into functional cookies, i.e. essential cookies, analytical cookies and marketing cookies.
  • Functional or essential cookies enable various functions on our site, such as shopping cart, ordering and registration. You can block functional cookies in your browser settings, but this will affect the functionality of the site.
  • Analytical cookies allow you to measure traffic on the site and to view traffic sources as larger data sets. They also help us understand which products are the most popular.
  • Marketing cookies allow us to target advertising on services such as Google, Meta and newsletters, making the advertising content as interesting as possible for you. If you do not accept marketing opt-outs, the advertising will be more generic.

4. Source of personal data

The main source of personal data is your own personal declaration or the information you provide about your purchases and transactions in Ruskovilla's online shop. We also obtain personal data by observing and analysing the use of the service as described in sections 2 and 3.

5. Processing of personal data

Only necessary Ruskovilla employees and partners have access to personal data and are bound by confidentiality. Access to personal data is only granted when it is necessary for the performance of their duties. Internally, we process customer data in our ERP system, our e-commerce system and our customer management and marketing system.

Data may be disclosed to Ruskovilla's partners for purposes such as online sales, customer service, billing, IT systems and marketing. In such cases, data processing is governed by agreements between the parties.

6. Storage and protection of personal data

Your personal data is stored electronically and properly protected from unauthorised access by physical locks, firewalls, passwords and other technical protection measures. Manually processed documents containing data subjects' information are kept in locked premises.

In the online shop, the payment service is provided by Paytrail, Shopify Payments and PayPal.

All data transfers and financial transactions are SSL-secured, meaning that no third party can see the data. The online store uses the Secure Sockets Layer (SSL) security protocol to transfer personal data. Software using the Secure Socket Layer (SSL) protocol protects your information such as name, address, bank details and credit card number when you place an order. SSL security works with most modern browsers.

7. Data storage period

Personal data is stored for the duration of the customer relationship and after the end of the customer relationship for as long as the parties can make claims against each other in relation to the customer relationship. Legislation (such as accounting and statute of limitations legislation) may impose obligations on processing periods. Data collected under a contract may generally be retained for ten (10) years after the termination of the contractual relationship and the performance of the obligations arising therefrom.

8. Transfer of data outside the EU/EEA

Data will not be transferred outside the European Union or the European Economic Area, unless this is necessary for the technical implementation of the service. In such cases, an adequate level of data protection and other necessary measures will be ensured as required by law. Services used for technical implementation, such as Shopify, judge.me, Klaviyo, Hotjar, Google and Meta may store data outside EU according to the current data protection regulations.

9. Rights relating to data

You have the right to:
  • To receive a copy of the personal data concerning you
  • Request the rectification or erasure of personal data concerning you
  • Withdraw your consent to processing at any time
Please note that if the processing of your personal data is necessary, for example, to deliver your e-commerce order, we cannot delete your data.

You have the right to object at any time to the processing of your data for direct marketing purposes. You can opt-out of email marketing directly in our newsletter or as a registered user in the customer information of our online shop, in other cases please contact our customer service. Please note that, despite opting out of direct marketing, you may still see our advertisements on Ruskovilla's third-party online services and continue to receive customer communications from us, such as an order confirmation for an order you have placed in our online shop.
